Following up on enquiries and admissions

How the front office tracks unconverted enquiries and pending admissions so nothing slips through the cracks.

Following up on enquiries and admissions

Most enquiries don't convert on day one — they need 2 to 5 follow-ups before the parent commits. Schoolwati gives you a way to track these so nothing falls through the cracks.

Where to find pending work

Two dedicated pages:

  • Students → Enquiries → Todos — enquiries that need a follow-up call/email/visit.
  • Students → Admissions → Todos — in-flight admissions that need attention (missing documents, awaiting approval).

What you'll see

A list grouped by Overdue / Today / This Week / Later. Each item shows:

  • Which enquiry or admission it's about.
  • The parent name and contact.
  • When the next follow-up is due.
  • Notes from previous attempts.

Adding a follow-up note

On any enquiry or admission detail page:

  1. Scroll to the Follow-ups section.
  2. Type what happened today (called, parent unavailable, scheduled site visit, etc.).
  3. Set the next follow-up date.
  4. Save.

Reassigning to someone else

If a follow-up needs a different team member, change the assignee on the enquiry/admission. The notification goes to them and the item moves to their to-do queue.

Reports

Reports → Admissions → Conversion Funnel shows how enquiries are flowing through each stage and where the drop-offs are.

What's coming

  • Templated follow-up sequences — auto-create the next follow-up when you mark one done.
  • Daily morning email with each person's to-do list.
  • Bulk follow-up campaigns ("remind all unconverted enquiries about open day").
