This page explains what data Schoolwati collects, how it is used, where it is stored, and the rights every school, student, parent, and staff member has over their own information. We have kept it short and direct on purpose - if anything is unclear, write to us at the contact address below.
The short version. Your school's data belongs to your school. We don't sell it. We don't share it with advertisers. We don't run third-party trackers on the platform. You can export or delete your data at any time.
1. Who we are
Schoolwati is a school management platform operated by Bytesar Technologies Private Limited (referred to as "Schoolwati", "we", or "us") from India. We provide admissions, attendance, fees, communications, and related tools to schools, colleges, coaching institutes, and training centres.
2. Information we collect
2.1 Information you give us directly
When your school sets up Schoolwati and uses it day-to-day, we collect:
- Institution details - school name, address, board, branch structure, academic calendar.
- Student records - name, date of birth, contact details, guardian information, photo, government ID where required by board regulations, academic results, attendance, fee history.
- Staff records - name, contact details, role, salary, leave, attendance.
- Parent / guardian contact - name, phone, email, address.
- Communications - messages, announcements, support tickets, and enquiry-form submissions.
- Payment details - fee amounts and status. Actual card / UPI / bank details are handled by our payment processor and never reach our systems (see section 4).
2.2 Information we collect automatically
- Sign-in activity - successful and failed login attempts, IP address, browser type, timestamps. Used for security monitoring and rate-limiting.
- Audit log - who did what inside the platform (created a student, modified a fee, exported a report). Visible to your school's administrators under Reports → Audit Log.
- Technical errors - minimal diagnostic information when something breaks, so we can fix it. No personally identifying information is included.
2.3 What we do not collect
- We do not run third-party advertising or analytics trackers.
- We do not collect biometric data unless your school explicitly chooses to integrate a biometric attendance device, in which case the data stays inside your school's account.
- We do not collect device location beyond what is needed for security (the IP address tied to a sign-in event).
3. How we use the information
We use the data above only for the purposes a school management platform reasonably needs:
- To run the features your school subscribed to.
- To notify parents and staff about attendance, fees, announcements, and events (only when your school configures these notifications).
- To answer support tickets you raise with us.
- To detect and prevent abuse - for example, blocking automated sign-in attacks.
- To improve the platform based on aggregated, non-identifying usage patterns.
We do not use student or parent data to train AI models, sell to third parties, or for any marketing purpose other than your school's own communications.
4. Who we share data with
Your school's data stays inside your school's account on Schoolwati. We share it with outside parties only in these specific cases:
4.1 Payment processors
When a parent pays fees online, the card / UPI / bank details are entered directly into our payment processor's secure form. We never see or store those details. We receive only the success/failure status and a transaction reference. The processor's own privacy policy applies to the payment handling itself.
4.2 Infrastructure providers
We host Schoolwati on standard cloud infrastructure (compute, database, file storage, email delivery). These providers process data only on our behalf, under contracts that prohibit them from using it for any other purpose.
4.3 Legal requirements
We will disclose data if compelled by a valid legal order from an Indian authority with jurisdiction, and only the minimum data necessary to comply. We will notify the affected school in advance unless we are legally prohibited from doing so.
4.4 What we never do
- We do not sell, rent, or trade your data.
- We do not share it with advertisers or data brokers.
- We do not allow other schools on the platform to see your data - every tenant is fully isolated.
5. How long we keep data
- Active subscription - we keep your data for as long as your school's account is active.
- After cancellation - your data is retained for 90 days after cancellation in case you reactivate, then permanently deleted unless you request earlier deletion.
- Audit log entries - kept for the duration of the subscription plus 90 days, then purged with the rest of the account.
- Backups - encrypted backups roll over on a regular schedule. Deleted data is removed from backups within 30 days.
6. How we protect data
We use industry-standard practices for protecting school data. The data security article in our help centre explains the controls (authentication, multi-tenant isolation, role-based access, audit log, abuse prevention, encrypted transport, backups) in plain language.
7. Your rights
If you are a school administrator, you can:
- Access any data you have stored in Schoolwati - every field is viewable inside the platform.
- Export a copy of your school's data at any time by opening a support ticket. We deliver it in standard spreadsheet format, typically within one business day.
- Correct any record from the relevant edit screen.
- Delete a record or the entire account. Deletion is irreversible; a full export is offered first.
If you are a parent or staff member and your school uses Schoolwati, please contact your school directly to access or correct your records. Schools are the data controllers for their own records; we act as a processor on their behalf.
8. Cookies
We use a small number of cookies that are strictly necessary for the platform to work:
- A session cookie that keeps you signed in.
- A secure refresh-token cookie that lets the platform issue a new sign-in token without asking you to re-enter your password every fifteen minutes.
We do not set advertising cookies, retargeting pixels, or third-party tracking cookies. Because every cookie we use is necessary for the platform's core function, a cookie consent banner is not required by Indian law for our deployment.
9. Children's data
Schoolwati is designed for schools, and student records (including for students under 13) are part of normal school operations. We act as a processor on behalf of the school, which is the data controller for student records. Parents may exercise their rights regarding their child's data through the school's administrator.
10. Changes to this policy
We will post any changes on this page and update the "Last updated" date at the top. For changes that materially affect how we collect or use data, we will also notify institution admins through an in-app banner and, where we have a current contact email, by email.
