Reviewing student documents

The queue where the front office reviews documents uploaded during admissions.

Reviewing student documents

When parents upload documents during admission (birth certificate, photos, ID), those uploads sit in a queue for the front office to review.

Where to find the queue

From the menu: Students → Documents Pending. The badge shows how many items need attention.

What you'll see

A list grouped by student. For each document:

  • Student name, admission ID, target class.
  • Document type.
  • File name and uploader.
  • Upload date.
  • Thumbnail (for images) or "View" link (for PDFs).

Review actions

  • Approve — accepted.
  • Reject — pick a reason (blurry, wrong document, expired, etc.). The parent gets an email asking them to re-upload.
  • Request re-upload — same as reject but doesn't block the admission. Useful for "send us a clearer copy".

When everything's approved

Until all required documents are approved, the admission can't move from Pending to Active.

Audit trail

Every approval or rejection is logged with who did it and why. Parents see only the reason you sent them — internal notes stay invisible.

Bulk approve

For routine admissions where you're processing many documents at once, select all → Bulk Approve. Only works for files matching the expected type — anything ambiguous needs an individual review.
