Subscription and billing
This article is about paying for Schoolwati itself — separate from the fees your school charges parents.
Your 30-day free trial
Every new account starts with a free 30-day trial. No credit card required. You get full access to everything during the trial.
A reminder email arrives a week before your trial ends. If you don't pick a paid plan by day 31, your account switches to read-only mode — you can still see all your data, but you can't add new records.
You can pick a plan any time during the trial or after it expires.
Plans
Plans differ by:
- How many students you have.
- How many campuses you're running.
- How many staff seats you need.
- SMS quota for the month.
- Support level (email vs priority).
Picking a plan
- Open Setup → Billing.
- Click Change Plan.
- Pick monthly or annual billing (annual is 15% cheaper).
- Pay by card or UPI through Razorpay.
The new plan kicks in straight away. If you're switching mid-month, you're charged the difference for the remaining days.
Renewals
- Monthly plans renew on the same calendar day each month.
- Annual plans renew on the anniversary of your sign-up.
- Reminder emails go out 14, 7, and 1 day before renewal.
- The card on file is charged automatically.
When a payment fails
If a renewal payment fails (expired card, insufficient funds):
- We try again on day 1, day 3, and day 7.
- You get an email each time.
- If still unpaid after a week, your account switches to read-only mode.
- To restore full access, update your card and re-trigger the charge from the billing page.
What read-only mode means
When your account is read-only:
- You can see all your data.
- You can't add new things — no new admissions, no new fee bills, no new attendance.
- Parents can still log in and see their child's data.
- Scheduled jobs (like auto-billing) pause.
Pay any pending invoice to restore full access.
Your Schoolwati invoices
Open Setup → Billing → Invoices to download invoices from us. They include GST (for Indian customers) and work as valid tax documents.
Cancelling
Open Setup → Billing → Cancel Subscription. Cancellation takes effect at your next renewal date — you keep access until then.
After cancellation, your data is kept for 90 days. After that, it's deleted unless you reactivate. Download a copy of your data before you cancel if you might want it later.
