Reviewing staff onboarding documents
When a new staff member is invited, their onboarding asks them to upload documents — ID, qualifications, bank details. Those uploads sit in a queue for HR to review.
Where to find the queue
From the menu: Staff → Documents Pending. The badge shows how many items need attention.
What you'll see
A list grouped by staff member. For each document:
- Staff name, designation, department.
- Document type (Aadhaar, degree certificate, bank passbook, etc.).
- File name, size, who uploaded it.
- A thumbnail or "View" link.
Review actions
- Approve — accepted.
- Reject — pick a reason. The staff member gets an email to re-upload.
- Internal note — only visible to HR.
When everything's approved
The staff member moves from Pending to Active. Until then they can log in, but payroll won't process for them and they show a flag on the staff list.
Security
- Documents are encrypted on our servers.
- Every download by an admin is recorded in the audit log.
- After 7 years post-separation, documents are auto-deleted unless flagged for legal hold.
