Set how many leave days your staff get each year and how unused leave carries forward.

Leave policies for staff

A leave policy sets the rules for how much leave your staff get, what kinds, and what happens at year-end.

Common leave types

  • Casual Leave (CL) — short personal absences. Usually 8–12 days/year.
  • Sick Leave (SL) — illness. Often paid up to a threshold.
  • Earned Leave (EL) — accrues monthly. Can usually be carried forward.
  • Maternity / Paternity — as required by law.
  • Loss of Pay (LOP) — used when other balances are exhausted.

Creating a policy

  1. From the menu: Staff → Leave Policies.
  2. Click + Policy.
  3. Fill in:

- Name — like "Teaching staff" or "Admin staff". - Applies to — pick designations or departments. - For each leave type: - Annual quota — total days per year. - Accrual — front-loaded (all at year start) or monthly. - Carry-forward — none / capped at N / unlimited.

  1. Save.

Assigning a policy to staff

The policy applies automatically based on designation or department. To override for one person, open their detail page → Leave tab → Override Policy.

Year-end

On your leave year-end (defaults to 31 March):

  1. Unused leaves are processed per the carry-forward rule.
  2. Fresh balances are credited for the new year.

Coming soon

  • Comp-off tracking — when staff work on a holiday, they earn a comp-off day. Today comp-off has to be handled outside Schoolwati; built-in tracking is on our roadmap.
  • Automatic leave encashment at year-end.
