Setup & Configuration

Setting your academic year

When your school's academic year starts and ends, and what to do at year-end.

Setting your academic year

Your academic year settings tell Schoolwati when your school year starts and ends — this affects fee billing periods, exam schedules, attendance calculations, and year-end transitions.

Setting up a new year

  1. Open Setup → Academic Year.
  2. Click + New Year.
  3. Fill in:

- Label — like 2026-27. - Start date — typically the first working day (often 1 June in India). - End date — the last working day (often 31 May the next year). - Terms — most Indian schools use 2 or 3 terms; set the date range for each.

  1. Save.

The active year

Only one academic year is active at a time per campus. Everything — fee bills, attendance, exams — runs against the active year.

Year-end checklist

When you're ready to move from one academic year to the next:

  1. Finish the current year — make sure all marks are entered, fees collected (or marked uncollectable).
  2. Move students up — today you do this per student (open the student, click Transfer Section, pick the new class). A bulk year-end promotion is on our roadmap.
  3. Activate the new year — set it as active on the Academic Year page.
  4. Carry over leave balances — handled automatically per your leave policy rules.
  5. Copy and adjust fee structures — most fees stay similar; copy and tweak amounts as needed.
  6. Refresh the holiday calendar with the new year's holidays.

Mid-year fixes

If a student is on the wrong academic year (added them in May for the new year but should've been the old one), open their detail page → Re-assign Academic Year. Admin only, audit-logged.
